Documents for an SME loan application in Hong Kong
An SME application needs more documents than a personal loan, and they come from more places: the company, its directors and shareholders, its bank, its accountant and whoever provides security. A clear list, kept per case, saves weeks.
Core definitions
Put similar concepts in the right place
Each component solves a different problem. Complete lending operations depend on clear data and workflow hand-offs.
| Item | What it does in practice |
|---|---|
| 01Company records | Certificate of incorporation, business registration certificate, articles and the latest annual return. |
| 02People | Identity documents for directors, shareholders and guarantors, and proof of who owns and controls the company. |
| 03Financial statements | Recent annual accounts, and management accounts for the period since the last year-end. |
| 04Bank statements | Statements for the business accounts over a recent period, to compare with the accounts. |
| 05Business evidence | Contracts, invoices, a receivables list or a pipeline that show where income comes from. |
| 06Security documents | Ownership papers, valuations and guarantee documents. |
Background
Why SME documents take longer
An SME file draws on more sources, and each group of documents answers a different question.
Documents come from different people
A personal application needs a handful of documents from one person. An SME file needs records from the company, identity documents from each director and shareholder, accounts from the accountant, statements from the bank and papers from whoever provides security.
Documents prove different things
Company records show that the borrower exists and who controls it. Financial statements and bank statements show how it earns and spends. Security documents show what stands behind the loan. A gap in one group cannot be filled by another.
Figures from documents
The numbers in financial statements and bank statements feed the analysis. Reading them by hand is slow and error-prone. Reading them into proposed figures and having a person confirm each one saves time without giving up control.
Personal data in the file
Identity documents for directors and guarantors are personal data. The lender is responsible for collecting only what it needs, keeping it safe and controlling who can see it.

- 05
Chase what is outstanding
Keep a visible list of missing items and who owes them.
- 06
File by case
Keep every document with the case, with its version and date.

Practical evaluation
Three habits that save time
Ask once, ask completely
Several rounds of requests slow the case and tire the applicant. A full list on day one avoids them.
Documents need dates
A statement without a date can be out of date. Record the date of every document as it arrives.
Keep what you need
Directors’ and guarantors’ identity documents are personal data. Collect what the assessment needs and control who can see it.
